Scheduling & dispatch

Field service dispatch and scheduling without the double entry

When a job is booked, someone writes it in a calendar, texts the technician, updates a spreadsheet and tells the customer. VertiQ builds scheduling and dispatch systems where the booking is entered once and everything else follows. Availability, technician assignment, reminders and job status live in one place, so the office and the field see the same day.

Sound familiar?

  • The dispatcher retypes the address from the booking into a text for the technician.
  • Customers call to ask when the technician is coming because nobody told them.
  • No-shows and last-minute cancellations leave gaps nobody sees until the morning.
  • Job status lives in the technician’s head until they call the office.

What we build

A dispatch board for the day

Every job for the day on one board, by technician and by status. The dispatcher moves a job and the technician’s list updates with it.

Booking that respects availability

Appointments are booked against real availability, by technician, service area or job type. No more promising a slot that is already taken.

A job link for each technician

The technician opens a link with the address, the customer’s notes and what needs to be done. They mark progress from their phone and the office sees it right away.

Reminders customers confirm

Automatic reminders by text or WhatsApp that customers confirm with a reply, plus an on-the-way alert when the technician heads out.

Live status for the customer

A status link the customer can open to see where their job stands, which cuts down the calls asking for an update.

How it works

  1. 1

Sit in on a real dispatch day

We look at how jobs are booked, assigned and closed today, including the texts, calls and spreadsheets in between, and count how often the same details get typed.

  2. 2

Design the board and the job stages

We agree on job statuses, who can move a job, what the technician sees and which messages go to customers at each stage. You get a defined plan and estimate first.

  3. 3

Build, run alongside, then switch over

We build in your accounts and test with real jobs before the team relies on it. Handover includes written SOPs, walkthrough videos and live training for office and field staff.

Scheduling & dispatch: questions, answered

Not necessarily. Many teams run scheduling out of Google Sheets or a shared calendar, and we can build on that. One of the operations platforms we built started from Google Sheets. If a tool is holding you back, we explain the trade-offs before proposing anything else.
Yes. Each technician gets a job link that opens on a phone, with the details they need and buttons to update the job. There is nothing for them to install.
It depends on how many technicians, job types and steps you have. We give you a defined plan and estimate before building, and we usually phase the work so the dispatch board is useful early.
Yes, if it suits your work. Some businesses want customers to pick a slot, others prefer the office to confirm every booking. We set it up the way your team actually schedules.
