Integrations & automation

Workflow automation with Make, Zapier and APIs that your team can trust

Most service businesses run on six or seven tools that don’t talk to each other, so people become the integration. VertiQ connects your tools with Make, Zapier and direct APIs so information moves on its own and each step follows a clear rule. Where it helps, we add AI steps with Claude to draft, sort or score work for a person to review.

Sound familiar?

  • The same customer details live in four tools, and they rarely agree.
  • Someone spends part of every day copying data from one screen to another.
  • Old automations break quietly and nobody knows until a customer complains.
  • Nobody can say which system holds the true version of a job or a booking.

What we build

A map of which system owns what

Before connecting anything, we decide which tool is the source of truth for each record, such as customers, jobs, payments and reviews. That single decision prevents most sync problems later.

Make and Zapier scenarios

Automations that pass information between your tools and act on rules you can read. We pick Make or Zapier based on what the workflow needs and what you already pay for.

Direct API connections

When a tool has no ready-made connector, or the volume is high, we connect to its API directly. This is how we worked with the Upwork API for a freelancer’s proposal tool.

AI steps with Claude

Claude can draft copy, score incoming work or plan a month of campaigns from past results. A person reviews the output before it reaches a customer, unless you decide otherwise.

Alerts when something fails

If an automation stops, the right person gets a message in Slack or by email with what failed and where. Problems surface the same day.

Documentation your team can follow

Every automation is written up in plain language, so your team knows what it does, what triggers it and what to do if it stops.

How it works

  1. 1

List the tools and the handoffs

We list every tool you use, what each one holds and where people move data between them by hand. That list shows where automation pays off first.

  2. 2

Design the rules before the scenarios

For each workflow we write down the trigger, the conditions, the result and who gets told when it fails. You approve it, with a defined estimate, before we build.

  3. 3

    Build, monitor and hand over

We build in your own Make, Zapier and tool accounts, test with real records and hand over SOPs, walkthrough videos and a live training session.

Integrations & automation: questions, answered

It depends on the workflow. Zapier is quick for simple steps, and Make handles branching logic and higher volume well. If you already pay for one, we usually start there.
No. We’re an independent studio that builds with both tools every week. What we bring is the design work before the build, so automations follow clear rules and keep running.
It depends on how many tools and workflows are involved. We give you a defined plan and estimate before building, and we start with the handoffs that cost your team the most time.
We use AI for specific steps, such as drafting or scoring, and keep a person reviewing the output where mistakes would matter. Running costs are usually small, and we explain them up front.
You get an alert with what failed, and the documentation explains how to fix common issues. Everything runs in your accounts, so your team or another provider can step in.
